Definitions
Students: Children or minors whose learning activities are supported by Writing Boost.
Teachers and Administrators: Staff of educational institutions authorized to oversee or manage Student accounts on Writing Boost.
Platform: The Writing Boost website, portal, or software services.
1. Our Commitment to Child Safety and Australian Privacy Laws
1.1 Child Safety as a Priority
We recognize the unique responsibilities involved in handling children’s personal information. Our practices safeguard Students by partnering with schools and ensuring all necessary consents are obtained. We never use Student data for advertising, profiling, or commercial sale.
1.2 Compliance with Australian Privacy Laws
We manage personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs):
- Limited Collection: Only collecting information necessary for educational or related administrative purposes.
- Secure Storage: Using strong security measures and extra precautions for Student data.
- No Commercial Use: Student data is never sold or used for advertising or profiling.
2. What Information We Collect
Our goal is to collect only what is necessary to provide our educational services.
2.1 Teachers and Administrators
- Contact Details: Name, work email, phone number
- Professional Details: Role, position, institution affiliation
- Account Information: Username and password (or single sign-on credentials)
- Usage Data: Login times, feature usage, and resource interactions
- Communications: Records of inquiries or support requests
2.2 Students
- User Information: Name, school email, year level, and class details
- Account Information: Username, password, or single sign-on credentials
- Usage Data: Content viewed, tools used, assignments submitted, and interaction metrics
- User-Generated Content: Writing samples (e.g., essays, stories, creative pieces)
Important Note
Students do not create their own accounts; they are created by a Teacher, Administrator, or educational institution. Any information submitted on a Student’s behalf is treated according to this Policy.
2.3 Parental/Guardian Consent for Students
We rely on Teachers, Administrators, and institutions to obtain all necessary parental or guardian consents before sharing Student information with us. Please contact your school or institution if you have questions about this process.
3. How We Collect Personal Information
- Directly from Teachers/Administrators: During account setup, inquiries, or feedback
- Through Educational Institutions: For managing subscriptions, accounts, or support
- Automatic Means: Cookies, server logs, and similar technologies (see Section 7)
- Third Parties: Public sources or service providers (e.g., analytics) where lawful
4. Why We Collect and Use Personal Information
We collect and use your information to:
- Provide Our Services: Create/manage accounts, enable Platform access, and offer support
- Enhance User Experience: Monitor usage and personalize features
- Communicate: Send important updates and respond to queries
- Comply with Legal Requirements: Meet Australian legal and regulatory obligations
- Manage Operations: Conduct internal record-keeping and improve our offerings
De-Identified or Aggregated Data
We may de-identify or aggregate personal information for research, analytics, and product enhancement. De-identified data cannot identify you and is never sold or used to train external AI models.
5. Disclosure of Personal Information
We only disclose personal information in these circumstances:
- With Consent: Where you give express permission
- For Educational Purposes: Sharing Student progress data with the relevant school or institution
- Service Providers: Carefully chosen third parties (cloud hosting, analytics, AI) who follow strict privacy and security practices
- Legal Requirements: If required to comply with the law or court orders
- Business Transactions: In a merger or acquisition, under the same privacy safeguards
We do not sell, rent, or trade Student personal information for any commercial or marketing purposes.
6. Data Storage in Australia and Offshore Processing
6.1 Primary Storage
All Student personal information is stored on secure servers located in Australia.
6.2 Offshore Processing of Writing Submissions (Non-Personal)
To offer AI-driven writing prompts or feedback, we may transmit portions of Student writing to reputable AI service providers outside Australia. However:
- No Personal Details: Identifying information (e.g., name, email) is excluded
- Minimal Transfer: Only essential text is sent for the AI service to generate a prompt
- Contractual Protections: Our agreements require full compliance with Australian privacy laws and prohibit any secondary use of data
No other Student data is stored or processed outside Australia.
7. Cookies and Similar Technologies
We use cookies, web beacons, and tracking pixels to:
- Analyse Usage: Understand how users navigate and interact with our Site or Platform
- Improve Services: Deliver a more personalized user experience
You can disable cookies in your browser; however, certain features may be unavailable if you do so.
8. Security of Personal Information
We protect your data with technical, administrative, and physical safeguards, including:
- Encryption: Securing data in transit and at rest where possible
- Restricted Access: Limiting data access to authorized staff on a need-to-know basis
- Secure Storage: Using reputable, certified cloud providers in Australia
Despite these measures, no method of transmission or storage is entirely foolproof. If you suspect a breach, please contact us immediately.
Notifiable Data Breaches (NDB)
If a breach is likely to cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with Australian law.
9. Free Trials
9.1 Student Information
- Handled as outlined in this Policy
- Never used for commercial gain
- Stored in Australia
9.2 Retention After Free Trial
- Unless an institution subscribes, Student data from the free trial is deleted or de-identified within 90 days.
9.3 Teacher and Administrator Information
- Managed as for regular accounts
- May be retained to provide service updates and other relevant communications
10. School Ownership of Data
Student data and generated content are owned or controlled by the educational institution. At the school’s request, we will return, delete, or transfer Student data as required by our agreements and relevant laws.
11. Accessing and Correcting Your Information
You have the right (subject to legal exceptions) to:
- Request access to your personal information
- Seek corrections if it is inaccurate or incomplete
We may require identity verification before fulfilling such requests. If you are a Student, contact your school first to address any data queries.
12. Retention of Personal Information
We keep personal information only as long as needed to:
- Provide services
- Comply with legal obligations
- Resolve disputes
- Enforce agreements
Examples:
- Student Accounts: Retained for up to 6 months after the institution stops using our Platform (unless earlier deletion is requested)
- Teacher Accounts: Retained for 6 months after closure
After this period, data is securely destroyed or de-identified.
13. Direct Marketing
We do not send direct marketing to Students. If you submit personal details (e.g., via a website form), we may send you occasional updates about Writing Boost. You can unsubscribe at any time using the link provided in our emails or by contacting us.
14. Changes to This Privacy Policy
We may update this Policy to reflect changes in practices or legal requirements. If updates are substantial, we will notify you (e.g., by posting a notice on our Site or Platform). Continuing to use our services after changes indicates acceptance of the revised Policy.
